Single, Repeating, or Multiple Action Items
Action items are also known as tasks that are tied to due dates. They can be linked to an existing contact and grouped by follow-up type. You can even rank their priority and set their completion date. Action Items can also be set to repeat or create multiple action items simultaneously. Tasks created can be viewed from the Action Item tab of their profile, the Upcoming Events sidebar, or the Calendar.
Single Action Item:
- After opening a contact profile, from the profile toolbar, click then choose Action Item (or from the Action Items tab, click ).
- From the Date field, enter the due date or select from the calendar picker.
- From the Follow Up drop-down, select the type of follow-up, or click to create a new type.
- In the Description field, the contact's name will be used. Change or add any additional necessary information.
- If necessary, change the Priority (between 1 and 6).
- If the task needs to be repeated, click to enter the additional information.
- When finished, click to save and add another, or click to save and close.
Note: The Linked To field ensures the task is linked to the contact, and the Completion Date should remain blank until the task has been completed.
Multiple Action Items:
- After opening a contact profile, from the profile toolbar, click then choose Multiple Action Items.
- From the Follow-up drop-down, select the interval, then click .
- To add another action item, from the Follow-up drop-down, select another interval, then click .
- When finished, click .
Tip: Use the Quick Add option and select 2 + 2 + 2, 3 + 3 +3, or 4 + 4 + 4 from the drop-down in the lower lefthand corner to automatically add three follow-ups for the specified timeframe chosen (2 Day, 2 Week, and 2 Month, etc.).
- From the sidebar navigation, clickCalendar.
- From the calendar toolbar, click .
- From the Date field, enter the due date or select from the calendar picker.
- From the Follow Up drop-down, select the type of follow-up, or click to create a new type.
- In the Description field, enter the contact's name and any additional necessary information.
- If necessary, change the Priority (between 1 and 6).
- If the task needs to be repeated, click to enter the additional information.
- From the Linked To drop-down field, select the contact with which the task is associated.
- When finished, click to save and add another, or click to save and close.
From the Profile:
- After opening a contact profile, click on theAction Items tab.
- Double-click on the task to edit.
- If the task is being completed, enter a date in the Completion Date field, then click .
From the Calendar:
- From the sidebar navigation, clickCalendar.
- From the calendar, click the task to edit (shown in green).
- If the task is being completed, enter a date in the Completion Date field, then click .
From Upcoming Events:
- If necessary, from the application topbar (next to your profile menu), click to open Upcoming Events.
- Expand the Action Items group and double-click the task to edit.
- If the task is being completed, enter a date in the Completion Date field, then click .
From the Profile:
- After opening a contact profile, click on the Action Items tab, then click next to the task to delete.
- Click YES to confirm.
From Upcoming Events:
- If necessary, from the application topbar (next to your profile menu), click to open Upcoming Events.
- Expand the Action Items group and click next to the task to delete.
Single Action Item:
- Date: The date where the action item will be added to the calendar (defaults to the current date)
- Follow-up: Customize the type of task (click to edit the existing list)
- Description: Displays the contact name by default
- Priority: The priority of the task from 1 to 6, set as 1 by default
- Linked to: Links the action item to the corresponding contact
- Completion Date: The actual date that the action item was completed on
- Repeat: Option to choose if the action item will be repeated and the interval (Daily, Weekly, Monthly by date or day, and yearly)
